Dashboard

Your studio's gear and coverage at a glance.

The Dashboard is your home screen. It summarizes your inventory, its value, your insurance coverage, and upcoming service in one view.

Summary cards

  • Total gear count — the number of active (non-archived) items.
  • Uncovered gear count — items with a replacement cost of 0, i.e. not insured.
  • Portfolio value — the sum of every active item's depreciation-adjusted current value.
  • Insured value — the sum of replacement costs across covered items.
  • Coverage gapportfolio value − insured value, shown as 0 when you're fully covered. When positive, it's highlighted as a warning.

Policy expiry banner

When your studio has one or more active policies whose coverage end date falls within the next 30 days, a warning banner appears on the Dashboard.

  • For one expiring policy, the banner reads "A policy is expiring soon".
  • For multiple expiring policies, the banner reads "N policies are expiring soon", where N is the count.

The banner includes a Review policies link that takes you to Insurance → Policies, where you can renew or update the affected policies.

When the banner appears and clears

The banner is derived from live policy state — there is no dismiss button. It appears when at least one active (non-archived) policy has an effective_end date between today and 30 days from now. It clears automatically on the next Dashboard load once that condition is no longer true — for example, after you renew a policy (pushing its end date beyond the 30-day window) or archive it.

Archived policies are never counted, even if their end date falls inside the 30-day window.

Service widget

When maintenance tracking is enabled for your studio, a Service section appears on the Dashboard. It shows how many items need attention, bucketed into three categories:

Each item is counted once, by its earliest due date across all of its active schedules — so an item with several schedules never inflates the totals.

The tiles overlap on purpose, so don't add them up: Overdue is separate, but Due this week is a subset of Due this month (an item due in three days is counted in both).

Selecting a tile links to your Inventory list filtered by that service status. See Inventory → Service status filter for what each filter value shows.

Assigned to me filter

On the Studio plan, the Service widget shows an Assigned to me checkbox. When checked, the widget counts only schedules assigned to you — overdue, due this week, and due this month are all scoped to your assignments.

When unchecked (the default), the widget counts all active schedules for the studio regardless of assignee.

The checkbox is not shown on the Pro plan.

Widget states

  • No schedules yet — shown when no active, dated service schedules exist for your studio. The widget prompts you to add a service schedule.
  • All caught up — shown when nothing is overdue and nothing is due within the next 7 days. The widget shows the date of the next upcoming service due.
  • Count tiles — shown when at least one item is overdue or due this week.

Service setup callout

When maintenance tracking is enabled, OneTake may show a "Set up service tracking" callout on the Dashboard. The callout appears when your studio meets all three conditions:

  • The studio was created at least 7 days ago.
  • You have at least 5 items in categories that typically need regular service (for example, microphones, preamps, or other gear that built-in service templates cover).
  • You have no active maintenance schedules yet.

The callout is not shown when the studio is snoozed or when any of those conditions isn't met. Eligibility is checked live each time the Dashboard loads, so adding your first maintenance schedule hides the callout immediately on the next load.

After snoozing, the callout re-evaluates when the snooze period expires. You can always start the setup flow manually from Settings → Service — see Service setup wizard.

Category nudge callout

When maintenance tracking is enabled and your studio already has at least one active service schedule, the Dashboard may show a category nudge callout. It highlights a gear category where several items still have no service schedule and suggests a template to apply.

The nudge and the service setup callout do not appear at the same time. The nudge only fires when the studio already has at least one active schedule; the setup callout owns the "no schedules yet" case.

When the nudge appears

The nudge appears when all of the following are true:

  • Maintenance tracking is enabled for your studio.
  • Your studio has at least one active service schedule (otherwise the setup callout shows instead).
  • At least one gear category has 3 or more untracked items (non-archived items with no active schedule) and a recommended built-in service template.
  • That category is not in a dismiss cooldown (see Dismissing).

Only one nudge callout is shown at a time. When multiple categories qualify, the one with the most untracked items is shown. When two categories are tied, the one that comes first alphabetically is shown.

Categories with no recommended built-in template are not nudged, even if they have many untracked items.

Nudge callout actions

The nudge callout shows the category name, the count of untracked items, and the recommended template name. It offers three actions:

Add to all is disabled while the bulk apply is in progress. If the apply fails, the button returns to its normal state and the callout remains visible. If it succeeds, the callout disappears immediately.

The item set and template are resolved server-side when Add to all is selected — the callout cannot apply a template to an arbitrary set of items. If the nudge is no longer current by the time the request reaches the server (for example, another session already applied schedules), the action fails and the callout stays visible.

Dismissing the nudge

Selecting the dismiss control (X) hides the callout immediately and starts a 30-day cooldown for that category. During the cooldown, the nudge for that category does not reappear. After 30 days, the category is re-evaluated on the next Dashboard load.

Dismissing one category does not affect other categories. If a different category reaches the nudge threshold while one is cooling down, that other category may be shown instead.
