Deleting your account

How to permanently delete your OneTake account and studio data — the 7-day grace period, and exactly what we delete and what we keep.

Deleting your account is self-serve and permanent. It removes your studio and all of its data from OneTake. You start it yourself from Settings → Your Data, and you get a 7-day window to change your mind before anything is actually removed.

Deletion is permanent. Once the grace period ends and your data is removed, we can't bring it back. If you might want your records later, export your data first.

How it works

  1. Go to Settings → Your Data and select Delete account.
  2. Read the summary of what's deleted and what's kept, then select Continue.
  3. To confirm, type your studio's name exactly as shown (or your email address, if you don't have a studio). If you sign in with a password, you'll also enter your password. You can add an optional note telling us why you're leaving.
  4. Select Delete my account.

Your account is then scheduled for deletion and you're signed out. We email you a confirmation with the date your data is set to be removed.

The 7-day grace period

Nothing is deleted right away. You have 7 days to change your mind — a window to recover from a change of heart or, if someone started this without your permission, to stop it.

To cancel, simply sign back in during those 7 days. Signing out didn't start any clock over, and your login keeps working right up until the window closes. Once you're back in, you'll see a banner across the app with a Reactivate account button — select it to stop the deletion and restore full access.

Cancelling always requires signing in — there's deliberately no one-click link in the email. That way, someone who intercepted your email can't undo a deletion (or, if they started one, only you can stop it).

If the 7 days pass without you signing back in, your studio data is permanently deleted.

What we delete and what we keep

We permanently delete everything that makes up your studio:

  • your gear inventory, valuations, and declared insurance values
  • maintenance logs and schedules
  • insurance policies and every uploaded document
  • gear photos and other uploaded files
  • your profile and account login
  • your studio's audit and activity history

We keep only what the law requires us to — and nothing more:

  • Billing and tax records — kept for the period tax and accounting rules require. These live with our payment processor, which is the system of record for payments.
  • Legal-hold data — if specific records are subject to an active legal hold, we keep those until the hold is lifted.
  • A minimal deletion record — a pseudonymized note that your account was deleted, so we can show the request was honored. It doesn't identify you beyond what's needed for that proof.

Your data is also removed from our backups. Backups are placed "beyond use" — walled off from everyday systems — and age out on their normal rotation schedule.

Export your data first

Deletion can't be undone, so if you'd like to keep a copy of your records, export your data before you delete. See Exporting your data for how — it's free and takes a few minutes. You can also still export during the 7-day grace period, as long as you're signed in.

Deletion timeline

After the 7-day grace period ends, we remove your studio data promptly — well within the deadlines data-protection laws set for erasure requests, including Brazil's LGPD, which expects completion in about 15 days. The 7-day window is a courtesy to let you change your mind; it isn't a legal deadline.
