Dashboard

Your studio's gear and coverage at a glance.

The Dashboard is your home screen. It summarizes your inventory, its value, your insurance coverage, and upcoming service in one view.

Summary cards

  • Total gear count — the number of active (non-archived) items.
  • Uncovered gear count — items with a replacement cost of 0, i.e. not insured.
  • Portfolio value — the sum of every active item's depreciation-adjusted current value.
  • Insured value — the sum of replacement costs across covered items.
  • Coverage gapportfolio value − insured value, shown as 0 when you're fully covered. When positive, it's highlighted as a warning.

Policy expiry banner

When your studio has one or more active policies whose coverage end date falls within the next 30 days, a warning banner appears on the Dashboard.

  • For one expiring policy, the banner reads "A policy is expiring soon".
  • For multiple expiring policies, the banner reads "N policies are expiring soon", where N is the count.

The banner includes a Review policies link that takes you to Insurance → Policies, where you can renew or update the affected policies.

When the banner appears and clears

The banner is derived from live policy state — there is no dismiss button. It appears when at least one active (non-archived) policy has an effective_end date between today and 30 days from now. It clears automatically on the next Dashboard load once that condition is no longer true — for example, after you renew a policy (pushing its end date beyond the 30-day window) or archive it.

Archived policies are never counted, even if their end date falls inside the 30-day window.

"What getting covered would take" hook

When your studio has no active insurance policy and your inventory has a computable total value greater than zero, a callout appears directly below the readiness ring. It shows the total value documented to no policy and offers a quick path to generating a report for a broker.

The callout reads:

You've documented $X of gear against no policy. A broker will want an itemised list with values — which is exactly what your inventory already is.

A Generate a report for a broker link takes you to Insurance, where you can create a PDF valuation report to share with a broker.

When the callout appears

The callout is shown only when both conditions are true:

  • isUninsured is true — your studio has no active insurance policy.
  • valueAtRisk is greater than zero — there is at least some gear with a computable value documented to no policy.

When either condition is false, nothing is rendered. A zero value at risk would be meaningless, and showing the callout to an insured user would be misleading.

Value at risk figure

The value at risk is derived from the same readiness calculation that drives the readiness ring on the Dashboard. Both surfaces use the same computed result, so the figure in the callout always agrees with what the ring is showing.

When any items still lack a computable value, the figure is withheld — the readiness ring shows a Pending state in this case, and the callout does not appear. Showing a partial figure would understate the actual exposure.

Founding Studio welcome

Accounts in the Founding Studio cohort are onboarded by a OneTake team member rather than through the self-serve setup wizard. When you sign in as a Founding Studio member, a welcome section appears at the top of the Dashboard instead of the wizard-completion inbox.

The welcome section shows:

  • A Founding Studio label.
  • A greeting — "Welcome, [your first name]." or "Welcome." when no first name is on file.
  • A short note that your studio is set up as requested, and that your OneTake contact handles any changes or gear transfers.
  • A Go to inventory link that takes you straight to your gear list.

The welcome section has no activation meter, progress percentage, or steps to complete — the self-serve setup framing does not apply to Founding Studio accounts.

The "Finish setting up" inbox that appears for ordinary new accounts is suppressed for Founding Studio members — showing nudges to add gear to someone whose inventory was loaded by OneTake would be misleading.

Service widget

When maintenance tracking is enabled for your studio and the studio has at least one active maintenance schedule, a Service section appears on the Dashboard. The widget is not shown to studios that have never set up a schedule — maintenance is an enrichment feature, not something that appears before you've asked for it.

The widget shows how many items need attention, bucketed into three categories:

TileWhat it counts
OverdueItems whose earliest active service schedule is past due.
Due this weekItems due within the next 7 days (not yet overdue).
Due this monthItems due within the next 30 days, including those due this week.

Each item is counted once, by its earliest due date across all of its active schedules — so an item with several schedules never inflates the totals.

The tiles overlap on purpose, so don't add them up: Overdue is separate, but Due this week is a subset of Due this month (an item due in three days is counted in both).

Selecting a tile links to your Inventory list filtered by that service status. See Inventory → Service status filter for what each filter value shows.

Assigned to me filter

On the Studio plan, the Service widget shows an Assigned to me checkbox. When checked, the widget counts only schedules assigned to you — overdue, due this week, and due this month are all scoped to your assignments.

When unchecked (the default), the widget counts all active schedules for the studio regardless of assignee.

The checkbox is not shown on the Pro plan.

Widget states

  • All caught up — shown when nothing is overdue and nothing is due within the next 7 days. The widget shows the date of the next upcoming service due.
  • Count tiles — shown when at least one item is overdue or due this week.

Service setup callout

When maintenance tracking is enabled, OneTake may show a "Set up service tracking" callout on the Dashboard. The callout appears when your studio meets all three conditions:

  • The studio was created at least 7 days ago.
  • You have at least 5 items in categories that typically need regular service (for example, microphones, preamps, or other gear that built-in service templates cover).
  • You have no active maintenance schedules yet.

The callout is not shown when the studio is snoozed or when any of those conditions isn't met. Eligibility is checked live each time the Dashboard loads, so adding your first maintenance schedule hides the callout immediately on the next load.

Callout actions

ActionWhat it does
Set it up (2 min)Goes to the Inventory list filtered to gear with no schedule, where you can apply templates in bulk.
Show me laterHides the callout for 7 days.
Don't show againHides the callout for 30 days.

After snoozing, the callout re-evaluates when the snooze period expires. You can always start the setup flow manually from Settings → Service — see Service setup wizard.

Category nudge callout

When maintenance tracking is enabled and your studio already has at least one active service schedule, the Dashboard may show a category nudge callout. It highlights a gear category where several items still have no service schedule and suggests a template to apply.

The nudge and the service setup callout do not appear at the same time. The nudge only fires when the studio already has at least one active schedule; the setup callout owns the "no schedules yet" case.

When the nudge appears

The nudge appears when all of the following are true:

  • Maintenance tracking is enabled for your studio.
  • Your studio has at least one active service schedule (otherwise the setup callout shows instead).
  • At least one gear category has 3 or more untracked items (non-archived items with no active schedule) and a recommended built-in service template.
  • That category is not in a dismiss cooldown (see Dismissing).

Only one nudge callout is shown at a time. When multiple categories qualify, the one with the most untracked items is shown. When two categories are tied, the one that comes first alphabetically is shown.

Categories with no recommended built-in template are not nudged, even if they have many untracked items.

Nudge callout actions

The nudge callout shows the category name, the count of untracked items, and the recommended template name. It offers three actions:

ActionWhat it does
Add to allApplies the recommended template to all untracked items in the category. No navigation. The callout disappears when done.
CustomizeOpens the Inventory list filtered to items with no schedule in that category, so you can review and apply templates individually.
See the items firstOpens the Inventory list filtered to that category.

Add to all is disabled while the bulk apply is in progress. If the apply fails, the button returns to its normal state and the callout remains visible. If it succeeds, the callout disappears immediately.

The item set and template are resolved server-side when Add to all is selected — the callout cannot apply a template to an arbitrary set of items. If the nudge is no longer current by the time the request reaches the server (for example, another session already applied schedules), the action fails and the callout stays visible.

Dismissing the nudge

Selecting the dismiss control (X) hides the callout immediately and starts a 30-day cooldown for that category. During the cooldown, the nudge for that category does not reappear. After 30 days, the category is re-evaluated on the next Dashboard load.

Dismissing one category does not affect other categories. If a different category reaches the nudge threshold while one is cooling down, that other category may be shown instead.

Claim-readiness badges

Each recent-gear card may show an amber badge flagging what the item still needs before an insurer could act on a claim for it.

Three things make an item claim-ready:

What's neededBadge shown when missing
Serial numberNeeds serial
At least one photoNeeds photos
Purchase price greater than zeroNeeds proof of purchase

When an item is missing more than one of these, the badge shows only the most actionable gap. The order is serial first, then photos, then proof of purchase — a serial is a number off the back of the unit, a photo takes thirty seconds, and tracking down a receipt from years ago is the ask most likely to be left for later. Once you fill the first gap, the next one appears on the next load.

When an item has all three — a serial, at least one photo, and a purchase price above zero — no badge is shown. A "you're good" indicator would add noise to cards that need no attention.

A zero purchase price is treated the same as no price recorded. Gear on a critical-assets card is assumed to have cost something.

The badges also determine which items the "Finish setting up" inbox counts as needing attention — the inbox uses the same readiness check, so the two surfaces always agree.

Full gear table

Below the cards, a table lists all active gear with its name, category, current value, and coverage status.

Empty state

Before you've added anything, the Dashboard prompts you to add your first item. See Add your first gear.
