Exporting your data

You can download a complete copy of your studio's data at any time — your gear, valuations, maintenance history, insurance, and account details. It's free and available on every plan, whether you want a backup, a copy for your own records, or to move to another tool.

What's included

Your export contains everything OneTake holds for your studio:

• Profile and account — your name, contact details, and account settings.
• Studio — your studio's details and team.
• Gear inventory — every item, including make, model, serial number, purchase price, current valuation, declared insurance value, and condition.
• Maintenance — your service logs and schedules.
• Insurance — your policies and every uploaded policy document.
• Audit history — the record of changes made in your studio.
• Billing summary — an overview of your plan and payments.
• Uploaded files — your gear photos and policy PDFs.

What's in the download

Your export arrives as a single .zip file. Inside it you'll find:

• /csv/ — one spreadsheet (CSV) for each part of your data. These open directly in Excel, Numbers, or Google Sheets.
• data.json — the same data in a machine-readable format, nested so related records sit together: each gear item carries its own maintenance history and photos, and each policy carries its documents and the gear it covers. Handy if you're moving to another tool.
• README.txt — a short guide explaining what each file is.
• /files/ — your uploaded photos and documents, included as the original files. For very large exports (over 250 MB of files), these are delivered instead as secure download links in a files_manifest.csv, each link good for 7 days.

How to export your data

1. Go to Settings → Your Data.
2. Under Export your data, select Export data.
3. We'll start preparing your export in the background — you can leave the page.
4. When it's ready, we'll email you a secure download link.
5. Open the email and select Download my data.

Delivery and expiry

Exports are prepared in the background and are usually ready within a few minutes — larger studios can take a little longer. We email you the moment it's done.

The download link stays active for 7 days, then stops working — and the export file itself is automatically deleted — so your data can't sit around on a stale link. Need it again after that? Just request a fresh export any time; there's no limit.

A few things worth knowing:

• Only your most recent export is kept. When a new export is ready, we remove the previous one, so an older download link stops working once you've requested a newer export.
• One export at a time. If you ask for an export while one is already being prepared, we hand you back the one that's already in progress rather than starting a second — so you won't get duplicate emails.

Your privacy rights

Exporting your data helps you exercise your data-portability and access rights, including under the EU and UK GDPR, California's CCPA/CPRA, and Brazil's LGPD.

Planning to close your account? Export your data first — once your account is deleted, this copy can't be recovered.
