First-Run Setup Wizard
The full-screen wizard that walks a new account through its three required steps before opening the dashboard.
When you sign up for OneTake, you're routed to a full-screen setup wizard before you see the dashboard. The wizard collects three essentials. When all three are done, you land on your dashboard for the first time.
The three steps
The wizard covers the same three essentials as the activation model:
| Step | In-card heading | What it covers |
|---|---|---|
| 1 | Tell us about your studio | Your studio's name, type, and location. |
| 2 | Add your gear | Adding at least one piece of equipment — or skipping for now. |
| 3 | Do you insure your gear? | Answering whether you insure your gear. |
The stepper at the top of the content column shows all three steps at a glance. The current step is highlighted. Steps you've already completed — and moved past — show a filled green badge with a check mark and an accessible Completed label.
Page layout
The wizard page has two top-level sections:
- A top bar, pinned to the top of the page, with the OneTake logo on the left and a small Account navigation group on the right — see Account escape hatches below.
- A centred content column containing the page header, the stepper, and the card — in that order, top to bottom.
Only the form itself lives inside the card. The top bar, page header, and stepper sit on the page behind the card, not inside it.
The wizard is always shown in the dark colour palette, regardless of your system or app theme preference. This keeps the full-screen setup experience visually consistent for every new account.
Account escape hatches
The wizard is a full-screen gate with no other app chrome — while you're in it, there's no sidebar or menu to reach anything else. The top bar's Account navigation group gives you two ways to leave without finishing setup:
- Account settings — a link to
/settings. Use it to reach account deletion, billing, or any other account-level page while setup is still incomplete. - Sign out — signs you out and sends you to
/login.
These two links are account-level only — the rest of the app (Dashboard, Inventory, and so on) still redirects you back to the wizard until setup is done.
This mirrors a matching change to the gate itself: while your account is
routed to the wizard, going directly to a Settings, Membership, or
Upgrade URL no longer bounces you back to the wizard the way every other
page still does. Account deletion and billing need to stay reachable mid-setup
— everything else keeps redirecting to /welcome until your three essentials
are complete.
Page header
Throughout the wizard — on the Welcome screen and on every numbered step — the page header shows the same persistent title: "Let's setup your studio" and a subtitle reminding you that three quick steps stand between you and a ready dashboard. The title does not change as you move through the steps.
The step position ("Step 1 of 3", "Step 2 of 3", "Step 3 of 3") is announced to screen readers via a visually hidden element but is not displayed on screen. Each step's in-card heading carries the visible label for that step.
Welcome screen
The wizard opens on a Welcome screen before step 1. The card on the Welcome screen shows its own copy block:
- Heading: "Let's get started with the basics"
- Body: "Welcome to OneTake setup! Let's create your account and gather key information about your studio to enhance your experience."
Selecting Start setup advances to step 1.
There is no Back control on the Welcome screen — there is nothing behind it.
Step 1 — Tell us about your studio
Step 1 collects three pieces of information about your studio.
Studio name
Enter your studio's name. This field is required — the step won't advance without it, and a blank or whitespace-only name is rejected with the message "Give your studio a name."
Studio type
Choose the option that best describes how your studio operates. Exactly one choice is required — the step won't advance without one, and you'll see "Pick the kind of studio you run." if you skip it.
The four options are presented as a single-column list, each with an icon, a label, and a short descriptor:
| Option | Descriptor |
|---|---|
| Bedroom / Home | Personal gear |
| Project studio | Semi-pro, clients |
| Commercial Studio | Full studio with rooms |
| Touring / Freelance | Gear on the move |
Only one option can be active at a time — selecting a second deselects the first.
The step reports exactly one error at a time. If both the name and the type are missing, you'll see one message — not two at once.
Location
The field is labeled Location (City and State). Enter your city and state — for example, Austin, TX. This field is optional; you can leave it blank and add it later. It's used for policy geography and your report header, and is not linked to any coverage or adequacy calculation.
What the step saves
When you select Continue from step 1, OneTake saves:
- your studio name
- your studio type (as an internal tag)
- your location, stored to a city field — or left blank when you didn't enter one
A blank location is stored as null, not as an empty string, so "not provided" stays distinguishable from a deliberate blank.
The step stamps the studio_identity milestone on success. If the save fails for any reason, the milestone is not stamped and you stay on step 1.
Creating a studio when you have none
Normally, step 1 saves your details to the studio your account already owns. If your account owns no studio at all — most likely because it's an account with no studio going through setup again — completing step 1 instead creates a new studio for you and saves your details to it, rather than failing.
When this happens, the studio is added to your session's studio list right away, without waiting for a page reload — so step 2 (Add your gear) already has a studio to add items to.
Prefilling from saved values
If you've already completed step 1 before — for example, if you pressed Back from step 2 and returned to step 1 — the form opens prefilled with the values you entered. You won't lose what you typed.
The default studio name that OneTake assigns at sign-up (My Studio) is treated
as absent — prefilling it would invite you to accept a name you never chose.
Step 2 — Add your gear
Step 2 is where you bring in your first piece of equipment. It has two modes you can switch between at any time: Upload a CSV and Add manually.
Choosing a mode
Two options sit at the top of the step as a persistent toggle. Both options remain visible after you make a selection — switching modes is always one click away.
| Option | What it does |
|---|---|
| Upload a CSV | Opens the CSV import flow. If you already track your gear in a spreadsheet, this lets you bring the whole list in at once. |
| Add manually | Opens a short form to add gear one item at a time. Replacement cost fills in automatically when the make and model are recognised. |
The selected option shows a filled check mark on the right of its row.
Add manually
When Add manually is selected, a short form appears below the toggle. Fill in the item's name, make, model, category, and replacement cost, then select Add more to save the item and clear the form so you can add another.
Replacement cost fills in automatically when you enter a recognised make and move focus away. If OneTake can't find a value, the field stays empty — it never fills in $0.
The form validates before saving. A nameless item is rejected inline without making any server call.
If a save fails, the error is shown inline and your typed values are preserved so you can try again.
Upload a CSV
When Upload a CSV is selected, the CSV import flow appears below the toggle. After the import completes, you can switch to Add manually using the toggle if you want to add more items individually.
Skipping step 2
You can advance past step 2 without adding anything. Select Skip for now in the wizard footer — it sits beside the Continue button on the right side of the footer.
Skipping does not mark the gear milestone as complete. OneTake treats a skipped gear step as deferred — the setup inbox will surface it later as an enrichment task. The step shows as upcoming (not done) in the stepper when you return.
Moving through the steps
On each numbered step:
- Continue validates the step's input and, if valid, advances to the next step. If validation fails, an inline error appears next to the offending field and the wizard stays put.
- Back returns to the previous step, or to the Welcome screen from step 1.
- The final step (step 3 — Insurance) shows Enter my studio instead of Continue.
- On step 2, Skip for now appears beside Continue as a secondary option — see Skipping step 2 above.
Finishing the wizard
Selecting Enter my studio on the final step:
- Calls the server to stamp your account as activated.
- Navigates you to
/dashboard.
The navigation uses replace rather than push, so the wizard doesn't sit in
your browser history. Pressing Back from the dashboard doesn't walk you back
into the wizard.
If the server call fails — for example, because of a network problem — an error message appears and the button returns to its normal state. You can retry. The wizard does not spin forever on a failure.
Resuming after a break
If you close the browser partway through the wizard and return later, the wizard reopens at your first incomplete step rather than sending you back to the Welcome screen.
Steps you already completed show as done in the stepper when you resume. Step 1 also reopens with your previously saved values prefilled — you won't need to re-enter your studio name or type.
The layout gate
Every page inside the main app checks your activation state before rendering.
An account that's mid-setup is redirected to /welcome from anywhere else in
the app — except for a short allowlist of account-level routes. See
Account escape hatches above for which routes stay
open, and why.
